Everbex Cloud Storage Calculator helps you estimate the recommended backup storage size (usable and optional raw capacity) for three common workloads:

  1. Shared Folder (File server / NAS shares)

  2. CCTV Video (NVR or camera recordings based on bitrate)

  3. Microsoft 365 Backup (Exchange, OneDrive, SharePoint, Teams/Groups)

You can adjust your backup policy (retention, change rate, dedupe/compression factor, overhead, and buffer) to match your backup tool and environment. 


What this calculator estimates (simple explanation)

  • Shared Folder & Microsoft 365 are estimated using a practical backup chain model:
    1 Full + Daily Incrementals (based on daily change %) + optional Weekly/Monthly full restore points (GFS)

  • CCTV is estimated based on actual recording volume:
    Cameras × Bitrate × Hours/Day × Retention Days × Motion Factor

Then the calculator applies:

  • Reduction factor (compression/dedupe effect)

  • Overhead factor (metadata, indexes, restore point overhead)

  • Safety buffer (recommended spare capacity)

Optional:

  • Usable-to-raw factor to estimate raw disk required (useful when planning RAID / Erasure Coding).



Step 1 — Set the Global Backup Policy

In Global Backup Policy, define the default rules:

  • Daily retention (days): How many daily restore points to keep (e.g., 30 days)

  • Weekly retention (weeks) and Monthly retention (months): Optional long-term restore points (GFS)

  • Daily change rate (%): Estimated daily data change (typical: 1–3% for office files, can be higher for active systems)

  • Backup reduction factor: Estimated dedupe/compression result

    • Typical for files/M365: 0.50–0.80

    • CCTV usually: ~1.00 (video compresses poorly)

  • Overhead factor: Extra space for indexes/metadata (typical 1.03–1.10)

  • Storage safety buffer (%): Recommended spare capacity (typical 15–30%)

  • Usable-to-raw factor (optional):

    • If you only want usable result: 1.00

    • RAID6 example: 0.80

    • Erasure coding examples: 0.75 / 0.67

  • Display unit: GB or TB

Tip: If you’re unsure, start with defaults and adjust after you see the results.


Step 2 — Fill in each workload (enable what you need)

A) Shared Folder

  • Enable Include this workload

  • Enter Current data size (GB)

  • If this workload needs different retention/change rate, choose Override global policy and adjust.

✅ Best for: file servers, NAS shared folders, departmental shares.


B) CCTV Video

  • Enter Number of cameras

  • Enter Avg bitrate per camera (Mbps)

  • Enter Recording hours per day (24 if continuous)

  • Enter Retention (days) (how many days of recordings you want to keep)

  • Set Motion factor (%)

    • 100% = continuous record

    • 30–60% = motion record (depends on environment)

✅ Best for: estimating backup/archive size for video retention, DR copy, offsite copy.


C) Microsoft 365 Backup

  • Enter Users

  • Enter average sizes:

    • Mailbox size per user (GB)

    • OneDrive size per user (GB)

  • Add organization-level content:

    • SharePoint total (GB)

    • Teams/Groups content (GB)

  • If your M365 policy differs (often longer retention), choose Override global policy.

✅ Best for: M365 backup sizing (cloud-to-cloud or to object storage).

Step 3 — Click “Calculate”

The report will show:

  • Total Usable Recommended (includes buffer)

  • Total Raw Required (if usable-to-raw factor is not 1.00)

  • Largest Workload (helps you understand what drives the storage)

And a table with each workload:

  • Estimated base (no buffer)

  • Recommended (with buffer)

Step 4 — Export PDF (A4)

Click Export PDF (A4) to generate a print-ready report.

Example (quick scenario)

 company has:

  • Shared Folder: 2TB (2000GB), change rate 2%, retention 30 days, weekly 8, monthly 12

  • CCTV: 16 cameras, 4Mbps, 24 hours/day, retention 30 days

  • M365: 80 users, mailbox 8GB/user, OneDrive 20GB/user, SharePoint 300GB, Teams 150GB
